Accounts
Show customers current balances, overdue amounts and account notes.
What it does
The account importer updates the account summaries customers see in your store.
What customers see
On the My Account page, signed-in customers see their name, customer ID, phone, email and username in Your details, with a View invoices link below. On smaller screens, these details follow the balance panel.
Customers with matching account data see Your balance: a prominent balance, the overdue amount highlighted when positive, and last payment and last invoice dates. Amounts use the store's currency. ADDITIONAL_INFO appears as Markdown beneath the account information and payment options.
When payments are enabled, the balance panel includes Pay off full amount for a positive balance, Pay off overdue for a positive overdue amount, and Pay another amount. These options require a customer payment reference; customers without one see a message to contact their wholesaler. Customers without imported account data still see their details and, when enabled, payment options.
When to use it
Use it after updating balances, overdue amounts or payment and invoice dates in your accounts package.
Before you upload
Always upload the complete account list. An empty file or header-only file removes every account summary from view.
Each row adds or updates the summary for that customer account. The file replaces every field, so a blank optional cell clears the stored value.
Active account records missing from the file are deactivated and disappear from the My Account page. They reappear, with the values from the file, when the same CUSTOMER_ID returns in a later import.
Read the shared CSV format and money rules before preparing your file.
Steps
- Open eCommerce → Importers.
- In Upload CSV, choose Import for Accounts then use Pick CSV file to select your complete file.
- Review the replacement warning, then select Upload and replace.
What you'll see
The file appears in Import log as Pending, then Success or Failed. Changes appear on your storefront within about 5 minutes of uploading - see when changes appear.
If the file fails, ProConnect emails your store's email address with the reason and the rows to correct, and emails you again when a later Accounts file succeeds. A run of failures is only emailed the first time. See Email notifications.
If something goes wrong
- Failed import: select View report, correct the reported rows and upload the complete file again. A validation error prevents the whole file from being applied.
- Unexpected results: If a balance is missing, check the customer account code matches the customer import exactly. Use the supported date formats below; negative balances are not accepted.
- Missing rows after a successful upload: restore them in the complete file and upload again. Check the replacement rules above before sending another file.
See the shared identifier matching rules when preparing your file.
Columns
Limits count characters after surrounding spaces are removed. A value over its limit fails that row, and the file is not applied. See the shared value limits.
Account and balances
| Column | Required | Limit | Example | Notes |
|---|---|---|---|---|
CUSTOMER_ID | Yes | 1-36 characters: letters, numbers, hyphens, underscores and ampersands | ACME001 | The ERP account code. Must match the customer CSV. If the same ID appears more than once, the last row wins. |
BALANCE | Yes | 0 to 9,999,999.99, 2 decimal places | 1250.00 | The account balance. Negative amounts are stored as 0. See money values. |
TOTAL_OVERDUE | No | As BALANCE | 320.50 | The overdue amount. |
Dates and notes
| Column | Required | Limit | Example | Notes |
|---|---|---|---|---|
LAST_PAYMENT | No | YYYY-MM-DD or YYYY-MM-DD HH:mm:ss | 2026-06-28 | Date of the customer's last payment. See dates below. |
LAST_INVOICE | No | As LAST_PAYMENT | 2026-07-01 09:30:00 | Date of the customer's last invoice. |
ADDITIONAL_INFO | No | Up to 255 characters | Credit terms: 30 days | Rendered as Markdown on the My Account page - useful for aged-debt breakdowns or credit terms. |
Linking to customers
CUSTOMER_ID must match the CUSTOMER_ID in the customer CSV exactly. Account data only appears for customers whose IDs match; rows without a matching customer import successfully but are not shown until the customer exists.
Dates
LAST_PAYMENT and LAST_INVOICE accept YYYY-MM-DD or YYYY-MM-DD HH:mm:ss, interpreted as UTC. Use these formats only - other formats can be misread - and note that dates before 1970 are not supported.
