Team
See who from your team can sign in to ProConnect, and create accounts for new colleagues.
What it does
Admin → Team lists the people from your company who can sign in to ProConnect, and lets you create an account for a new colleague.
When to use it
Use it when someone joins your team and needs access to the admin panel, when you want to check who currently has access, or when you need to find the email address a colleague signs in with.
To change your own name, email or password, use Account Settings instead - see Account settings.
Steps
Check who has access
- Open Admin → Team.
- Use Search by name or email... to narrow a long list. The count above the table names what you searched for, for example Showing 1–2 of 2 team members matching “sam”.
- Select a name to open that person's account.
Create a user
- Open Admin → Team.
- Select Create user.
- Enter the person's Full name, for example
Ada Lovelace. - Enter their Email. This becomes the address they sign in with, so use their real work address.
- Select Create user.
- On the User created screen, select Open email draft. This opens a pre-written message in your email program, addressed to the new user and containing the login details. Check it, then send it.
The temporary password is shown once, on this screen. Send it before you navigate away - it cannot be looked up again afterwards.
ProConnect does not email the new user for you. Nobody can sign in until you send them the details yourself.
What you'll see
The list shows one row per team member with Name, Email and Created, newest first, 50 to a page. Only accounts that can still sign in are listed.
If anyone from ProConnect support has access to your account, a B2B Store support access (2) row appears below the list, with the number of people in brackets. Expand it to see them. They are not your team members and are not counted in the list above. If no one from support has access, the row is not shown.
After you create someone, the User created screen shows a Login details panel with:
- Login URL - the sign-in address for the admin panel.
- Email - the address they sign in with.
- Temporary password - a One-time temporary password. They must change it when they sign in for the first time.
The prepared email repeats those three details and explains that they are only valid for a couple of days, so ask your colleague to sign in as soon as the message arrives. The draft also ends with a support address to write to if the details expire; replace it with your onboarding manager's address if you would rather your colleague came to you.
Selecting a name opens that person's account. Every account you can open is Active - accounts that have been removed no longer open. User details shows their Name, Email, Created and Last modified, plus two technical fields, Username and Cognito status, that you can quote if you are asked for them. A badge beside the name repeats that sign-in status; a newly created account stays on a first-sign-in status until the person signs in and changes the temporary password. An Attributes panel underneath holds the remaining technical details of the account; there is nothing to change there.
If something goes wrong
- Creation failed: the message under this heading says what went wrong - see the cases below.
- A user with this email already exists: that address already has a ProConnect account, possibly at another company. Ask the person to sign in with it, or contact your onboarding manager to have it added to your company.
- Enter a valid email address: check the address for typing mistakes and stray spaces, then try again.
- Name is required or Email is required: both boxes must be filled in before the account can be created.
- Failed to create user. Please try again: retry the form. If it keeps failing, contact your onboarding manager.
- Open email draft does nothing: your browser has no email program set up for it. Copy the Login URL, Email and Temporary password from the screen and send them yourself before leaving the page.
- A new colleague waited too long and the temporary password no longer works: the details are only valid for a couple of days. Contact your onboarding manager to have new sign-in details issued.
- A new user cannot sign in: check they are using the Login URL from the created-user screen and the exact email address shown, and that they have not already used and changed the temporary password.
- No team members match your filters.: clear the Search by name or email... box to see everyone again.
- No team members yet.: no one from your team has an account yet - select Create user to add the first.
- A colleague is missing from the list: only accounts that can still sign in are listed. Try creating the account again - if you get A user with this email already exists., the account still exists but is blocked, so contact your onboarding manager with their name and email address.
- A link to a colleague's account shows a page-not-found message: their account has been removed. Contact your onboarding manager if they still need access.
Removing access
Removing a team member is done by ProConnect support. Contact your onboarding manager with the person's name and email address and ask for the account to be removed.
Removal disables the account and then permanently deletes it. It cannot be undone, and the person immediately loses access to every part of the admin panel.
Some accounts cannot be removed this way at all:
- An account that belongs to more than one company.
- The account of whoever is signed in, requesting the removal.
- Support accounts, shown under B2B Store support access, which are managed by ProConnect.
If a colleague has left at short notice and you need access blocked immediately, contact your onboarding manager and say it is urgent.
