Sent

See how every campaign you have sent performed, who received it, who opened its links and how people responded.

What it does

The Sent page lists every WhatsApp campaign your company has sent, with its delivery and read performance, and opens a detail page for each one.

When to use it

Use it to check that a campaign has finished sending, to compare how quickly different campaigns were read, to see exactly which contacts received a message or opened its link, and to collect the answers people sent back.

Steps

  1. Open WhatsApp → Sent.
  2. Optionally narrow the list with the tag filter. It shows All tags until you tick one or more tags, or tick Untagged to find campaigns with no tag. Clear filter removes your choices.
  3. Optionally pick a date in Sent from, Sent to or both to see only the campaigns sent in that period. Both dates are included, and you can leave either one empty.
  4. Select a campaign name to open its detail page.
  5. On the detail page, use View all on the Recipients or Submissions card to page through the full list.
  6. Use Export on any of these pages to download the figures, then choose Excel (.xlsx) or CSV (.csv).

Your filters are kept in the page address, so you can bookmark or share a filtered view, and the export follows the filters you have applied. The count above the table names the tags you picked and says when a date range is set, for example Showing 1–50 of 493 campaigns tagged Retail or Showing 1–50 of 81 campaigns in your date range.

What you'll see

The campaign list

Newest campaigns are listed first, with these columns:

ColumnWhat it shows
NameThe campaign name. Select it to open the campaign. A Reminder badge marks a reminder.
WhenWhen the campaign started sending, or its current sending status.
AudienceThe audience it went to. Hover for the audience description. For a reminder it reads No submission for or No click on followed by the original campaign's name, and links to it.
TagThe tag on the campaign, or a dash when it has none.
SentHow many messages have gone out.
DeliveredPercentage of sent messages that arrived, and the number.
1 HourRead within one hour, as a percentage of delivered messages.
1 DayRead within one day, as a percentage of delivered messages.
7 DaysRead within seven days, as a percentage of delivered messages.
30 DaysRead within thirty days, as a percentage of delivered messages.
SubmissionsReplies recorded for the campaign, as a percentage of delivered messages.
ClicksContacts who opened a Visit website (tracked) link, as a percentage of delivered messages, and the number. A dash when the message had no tracked link.

Hover a Delivered or read-window percentage to see what it is measured against — of sent for Delivered, of delivered for the read windows — and hover a column heading for its full name, such as Read within Seven Days.

When there is nothing to show you'll see No sent campaigns yet. Campaigns you deliver will appear here with their performance., or No campaigns match these filters. if a tag or date filter is active.

Sending status in the When column

  • Preparing… — the audience is still being worked out; no messages have gone yet.
  • Sending — messages are going out now, with a running count underneath, such as 120 of 400 sent, or simply 120 sent when no audience total was recorded.
  • Sending... — a campaign created in the last hour that has not yet recorded its first message.
  • Failed — sending stopped and will not continue on its own. Campaigns scheduled after it still send as normal. The reason is shown beside the count, for example The message is longer than WhatsApp allows, The message template is no longer available, WhatsApp has limited this number, Not sent in time (it could not finish within two hours of its send time), or WhatsApp rejected the message with the error number. Contacts it had not reached by then are not messaged.
  • A date and time — sending has finished. Underneath you'll see when it was sent and the number of recipients, or No recipients if none were reached.

While a campaign is Preparing… or Sending, the page refreshes itself every few seconds, so you can leave it open and watch the counts climb.

Percentages still being measured

A figure only tells the whole story once its window has passed. Delivered is measured over thirty days, so it carries the marker too. Until then the figure is shown in italics with an asterisk, and hovering it shows Incomplete: 2 hours remaining alongside what the percentage is measured against. A campaign sent ten minutes ago will keep gaining reads, so its 1 Day figure is not final yet.

The campaign detail page

The heading shows the campaign name, when it was sent and the last activity recorded. Beside it are Schedule again and Schedule reminder; see Schedule it again or send a reminder.

Delivery and read timeline sits at the top. It shows the sent and delivered totals, a tile for each read window (1 Hour, 1 Day, 7 Days, 30 Days) a Submissions tile once replies were invited and at least one message was delivered, and a Clicks tile when the message had a Visit website (tracked) button. Clicks counts each contact once, however many times they opened the link. The chart plots how the Delivered and Read percentages built up over the minutes and hours after sending, with headline figures such as the delivery reached by the first minute and the time by which 90% of reads had happened. A note under the chart says how many of the campaign's messages had enough status information to be plotted. If statuses have not been recorded yet, a message appears in place of the chart.

Campaign details lists Campaign name, Audience, Channel, Total recipients, Sent and Message activity (the first and last message times). AI context and Task appear only when the campaign used them. Total recipients is how many messages have been recorded for this campaign; Sent is how many of those have a confirmed sent status. While a campaign is still going out, both numbers keep rising — the audience total it was created for is shown on WhatsApp → Sent as the "of" figure in the sending count.

Template parameters shows the template name, language and the exact wording that filled each placeholder. A flow button is listed under Button parameters by the name of the flow it opened; select the name to open that flow. When the message that was sent could still be read, a preview of it appears beside the parameters. Both come from the version of the template used at the time, so a template you have edited since still shows what your customers received.

Reminders

When a campaign has been followed up with reminders, a Reminders card appears under Campaign details. It lists each reminder in order (Reminder 1, Reminder 2, and so on) with when it was sent, how many people it reached and how many of them submitted a response or, for a no-click reminder, tapped the tracked link, plus any reminder still Scheduled. Select a name to open it. Submissions with reminders on the card is the share of everyone the original campaign reached who have submitted a response to it or to any of its reminders, so it is the figure to quote for the campaign as a whole; the Submissions tile at the top counts submissions to this message only. When the campaign has had a no-click reminder, Clicks with reminders shows the same share for tracked link taps. See Send a reminder.

A reminder's own page shows a Reminder badge beside its name, and its Audience links back to the original campaign.

Recipients

The Recipients card lists the ten most recent recipients with the Customer, Contact, and the times the message was Sent, Delivered, Read and Submitted. A dash means that status has not been recorded. When the message had a Visit website (tracked) button, a Clicked column shows when each contact first opened the link, with ×3 beside it when they opened it three times. On a campaign that has had reminders, Submitted and Clicked also count a reply or link opened from one of its reminders. Select View all to page through every recipient, or Export for the full list. Until the first message is recorded you'll see No recipients yet. Contacts who receive this campaign will appear here automatically. and View all and Export stay greyed out. On the full list, Back to campaign returns you to the campaign.

A recipients export contains one row per message, with the columns Sent At, Delivered At, Read At, Submitted At, Contact Name, Contact Phone, Customer Name and Customer Reference, plus First Clicked At and Clicks when the message had a tracked link. The WhatsApp → Sent export includes Clicks and Clicks Count, left empty for campaigns without a tracked link.

Submissions

The Submissions card appears when the campaign invited replies, through a flow button or a task, or when replies have already been attributed to it. It lists the ten most recent with Answers, Completed, Customer and Contact, plus Task when the replies came from a task. Select the answers to open a submission, View all for the full list, or Export to download it with a column for each answer alongside Completed At, Customer Name, Customer Reference, Contact Name and Contact Phone.

If nothing has come in yet you'll see No submissions yet. Responses recorded by flows or the AI assistant will appear here automatically.

See Submissions for responses across all campaigns and tasks.

Schedule it again or send a reminder

Both buttons open Schedule campaign with the details already filled in. Nothing is saved or sent until you choose when it sends and select Schedule campaign yourself. Hover either button for a reminder of what it does.

  • Schedule again copies the campaign's Name, AI context, Task, Tag, Channel, Template, template values and Audience. A segment audience goes to whoever is in the segment when the new campaign sends, not to the same people as before. Anything that no longer exists, such as a deleted segment, task or template, is left blank for you to choose. On a reminder, it sets up another reminder of the original campaign.
  • Schedule reminder sets the audience to the people who received this campaign but have not responded, and fills in the rest from it. On a campaign with a flow or task it chases people who haven't completed it; on a campaign with a Visit website (tracked) button it chases people who haven't tapped it. When a campaign has both, the button opens a menu: choose Didn't submit or Didn't click. Hover the button, or read the menu, to see who it goes to. It does not appear on a reminder itself: remind from the original campaign. See Send a reminder.

Under Schedule, neither Send now nor Schedule for later is selected, and Date and Time are empty, so choose when it sends before you save.

Changing the tag

A sent campaign is a record of what happened, so its wording and audience cannot be edited. The tag is the exception: choose one in Tag on the detail page and select Save tag. This is how you label campaigns that were sent before you created your tags. See Tags for the full details.

If something goes wrong

  • A campaign shows Failed: sending will not restart on its own. Check the reason shown beside it, correct the text, segment or template, and use Schedule again to send it. If the reason mentions billing, a limit or the WhatsApp connection, or you cannot tell what to change, contact your onboarding manager.
  • A campaign is stuck on Preparing… or Sending: large audiences take time and the counts update as messages go out. If the count has not moved for a long time, contact your onboarding manager.
  • Delivered or read figures look low: figures in italics with an asterisk are still being measured; check again once the window has passed.
  • A campaign shows No recipients: no contacts matched the audience at the time of sending, or none could be messaged. Review the segment on Segments and check consent on the Consent Log before sending again.
  • Schedule reminder is greyed out: the reason is shown beneath it: the campaign has not finished sending or failed to send, a reminder is already scheduled or sending, it has had 3 reminders, or it was sent more than 60 days ago.
  • Schedule reminder is missing: the campaign has neither a flow or task nor a Visit website (tracked) button, or it is itself a reminder. Open the original campaign through the Audience link and remind from there.
  • Some fields are blank after Schedule again: the segment, task, tag, channel or template has been deleted or recreated since the campaign was sent. Choose a replacement before scheduling.
  • Percentages show a dash: there is nothing to compare against yet, because no messages have been sent or delivered.
  • Clicks shows a dash, or there is no Clicked column: the template sent had no Visit website (tracked) button, so opens were not recorded. A plain Visit website button is never counted. See Templates to add a tracked button.
  • Clicks looks lower than expected: link previews and automated checks are not counted, and each contact counts once however often they open the link.
  • The Submissions card is missing: the campaign did not invite replies and none have been recorded against it.
  • No preview, or the parameters show raw text: the record of the message sent could not be read for this campaign. The delivery figures and recipients are unaffected; contact your onboarding manager if you need the exact wording that was sent.
  • Tag not found, Unable to validate this tag or Campaign not found when saving a tag: the tag or campaign changed while the page was open. Reload the page and choose an available tag.
  • Export doesn't download: if you see We couldn't export. Please try again. under the button, try once more, and choose CSV (.csv) if your spreadsheet struggles with the file. The button is greyed out when the page has nothing to export.
