Assistant

Ask questions about your ProConnect data, research opportunities, get help with the screen you are on and create images, all in a conversation.

What it does

The Assistant answers questions about your company's ProConnect data and about ProConnect itself, in a chat.

When to use it

Use it when you want a quick read on performance without building a report, when you need help using a screen in the admin panel, when you want to research ideas or dates for your next campaign, or when you need an advert or infographic image.

It answers from the data belonging to your company and from the modules you use, so WhatsApp questions need the WhatsApp module and sales questions need an online store.

You can also ask the Assistant to find or list records from your admin screens, using the same filters, for the modules you use. For example, ask for your latest five customers, orders over £100 this month or how many contacts opted out last month, then ask a follow-up question about a record. It can also read a contact's messages from this week and last week, a contact's campaign history, and who received a sent campaign. Payment lookups cover the latest 20 payments, and engagement lookups show the top ten contacts, matching those screens.

Steps

  1. Open Assistant in the navigation.
  2. Choose one of the suggested questions, such as Show my performance overview or Analyse my campaign performance (a phone shows a shorter selection of the suggestions), or type your own question in the message box.
  3. To speak instead of typing, select Start dictation (the microphone) and talk; select Stop dictation, wait for Finishing… and check the text before sending.
  4. To ask about a document, select Attach file (the paperclip) or drag files into the message box.
  5. Select Send message.
  6. Ask follow-up questions in the same conversation, or select Back to dashboard when you are finished.

What you'll see

While the Assistant works, a single line above the reply names the step in progress, such as Thinking…, Looking up sent campaigns… or Reading the documentation…. Requests with several steps take longer than a simple question.

Once the Assistant finishes, the line reads Worked through 4 steps. Select it to see each step in order: how the Assistant approached your question, every lookup it made, and each web search or link it read, with the websites it drew on. Select it again to hide the steps.

Links to pages inside ProConnect open in a new tab. Links to external websites show you the destination first: select Open link to continue or Copy link to keep the address. When a reply uses web sources, expand the sources list to visit them. Use Copy reply beneath the final text to copy the answer.

If something goes wrong

  • A request fails: select Retry, or make the question more specific about the information and date range you need.
  • An answer looks wrong: check the source links and the figures before acting on it, then ask a follow-up question to clarify. The Assistant can make mistakes.
  • A file is refused or will not upload: save spreadsheets as CSV and Word documents as PDF, keep to four files per message, and check the size limits below. If the upload itself fails, remove the file and send the message again.
  • An image fails to generate: ask again, describing the image and the data it should use more precisely.
  • An image will not save or download: select Save or Download again; if it keeps failing, contact your onboarding manager.
  • The microphone is unavailable: wait for attachments to finish uploading. If the button is missing, use a browser that supports microphone recording, or type your question.
  • You need to keep a conversation: use Copy reply before leaving or starting a New chat; conversations are not saved as history.
  • An answer says data is unavailable: that module may not be enabled for your company. Contact your onboarding manager if you expected it.

Getting help with a screen

Most screens in the admin panel have two buttons in the top bar. Ask the assistant opens the Assistant with a question about that screen already sent, and Read the guide opens its written guide in a new tab when that screen has one.

You can also ask how to do anything in ProConnect directly. The Assistant reads the relevant guide before answering and links to it in the reply, so you get the same steps, labels and limits the guides use.

Dictating instead of typing

Use dictation to add a question hands-free. Audio has different data protections from typed text. It is also available in Media → Generate, the flow editor and the Provide Feedback form.

  1. Select Start dictation (the microphone), or Dictate in the feedback form.
  2. Allow microphone access if your browser asks, then speak. Your words appear in the box as you talk.
  3. Select Stop dictation and wait for Finishing… to complete.
  4. Check or edit the text before sending it.

The recording indicator, sound bars and timer show when dictation is active. Each recording stops after three minutes. Typing, submitting or leaving the page stops dictation; switching to another tab also stops recording. Dictation adds to text already in the box.

If microphone access is blocked, allow it in your browser's site settings and try again. If dictation stops unexpectedly, check your connection and start again; the words already shown stay in the box. If the microphone button is unavailable, you can still type.

Attaching files

Attach supplier price lists, reports, adverts or notes to ask about their contents.

  1. Select Attach file (the paperclip), or drag and drop files into the message box.
  2. Add up to 4 files per message: PNG, JPEG and WebP images or PDFs up to 10 MB each; CSV, text (TXT), Markdown (MD) and JSON files up to 256 KB each.
  3. Ask a question about the files, then select Send message. You can also send files on their own.

Your attachments appear above the message box, and you can remove one before sending by pointing at its thumbnail and selecting the cross that appears. Save Excel spreadsheets as CSV and Word documents as PDF before attaching them. If a CSV or text file is too large, split it or include only the rows you need.

Follow-up questions in the same conversation can refer to earlier attachments. New chat clears them.

Attached files are kept after the chat ends and anyone with the file's link can open them. They are not added to your media library. Avoid attaching documents that must not be retained.

Creating images

Ask for an advert, infographic or chart and the image appears in the conversation with a short caption.

  • Save adds the image to Media → Gallery (see Media), ready to use in a campaign.
  • Download saves it to your computer.

Images are built only from the data you provide or the Assistant has retrieved. Ask for a change and it creates a new version; the earlier image stays in the conversation.

Creating WhatsApp Flows

For a form, survey or enquiry, open WhatsApp → Flows and select Create flow instead of asking the Assistant to write one. Follow the Flow editor guide to describe, save and preview the form.

Continuing the conversation

Ask follow-up questions in the same conversation to explore an answer further, including the results of data lookups. Use Stop in the message box to end a response early, then send another question when you are ready.

Select New chat once a response has finished to clear the conversation and start again. Conversations are not saved, so copy anything you want to keep first.

Your data

Beneath the message box, EU inference · Zero data retention opens a short note on where your data is held and processed, with a link to AI data security. Your ProConnect data stays in the UK and the Assistant only reads data belonging to the company you are signed in to.

Image creation runs outside the EU, so keep personal and confidential details out of image requests.

Dashboard

See how your WhatsApp audience, messages, conversations, payments and online store are performing, all on one screen.

Tasks

Tell the WhatsApp assistant which customer requests to record for your team, and what details to collect.
